co-directors job descriptions

Salaams, Sorry for the delay of this, but please review and let me know if there are any changes or alterations. ...BTW, can we pay them on a 1099? It'll save everyone money. If so, how about $1500 a month for each? We also need to develop a budget for each position for expenses.

Co-Director Positions

Executive Director (Iman)
The ED is the primary “front” person for the organization and point of contact. Specifically, they are responsible for the following:
Attending as many events as possible in a diverse area.
Being the spokesperson for the organization.
Collecting contact information for the database.
Ensuring field youth workers have the necessary support.

Operational Director (Inayat)
The OD is responsible for making sure the organization stays functional and efficient. Specifically, they are responsible for the following:
Website data maintenance (i.e. making sure the info is up to date and available)
Procedure development.
Program development for “stock” or “standard” camps and conferences.
Resource development.
Reporting Structure

Both directors report on a weekly basis to the chairperson of the Advisory Council. This weekly update should happen on a three way call so that all parties are aware of each others activities and progress. Once a month (for the first year) both directors will report to the entire Advisory Council on a conference call. Any issues that the chair person is unable to resolve shall be brought to the attention of the advisory council, as will any issues that either director feels were unjustly dealt with by the chairperson.

Budget
MYNA will pay the agreed upon salary to each director, and the used budgeted expenses for the director. Expenses for other family members or extensions of business travel are to be born by the director.

Assalamu Alaikum, Here are my initial thoughts:

1) I am not calling anyone Executive Director. As such, let us call the position that Iman will assume as Program Director.

2) I think how we pay them will also be determined by ISNA and if they can offer to use their infrastructure for payroll

3) I think that we should include in the job description that both will need to work on certain programs throughout the year, including but not limited to FYLTP in December, as well as other activities

4) I think that Iman should gather info for the database, but I think that Inayet should manage it and keep it current

5) For Inayet’s role, what do you mean by program development? I hope you are not saying that she is responsible for coming up with various programs!!! I think it would be better if Inayet would just collect and catalogue past programs. In fact, in her role, I feel she should work very closely with Assim on the Organizational Committee

6) I think it is important to add in this that all property that is bought (laptops, phones, etc) and developed (database, etc) is the sole property of MYNA

7) I think we should give them an end date where we can extend their contract. I was thinking Jan. 2004

Riyad, if this is ok with you, please make changes accordingly.

Salaams, OK, I made the modifications. However, as for point 4, that was already the way it was described, so I didn't modify anything. And point 2 we'll resolve after the shura meeting.

Assalamu Alaikum, I got this from Inayet. At first I thought that this was very bold of her and that we have a tough cookie on our hands. But the more I think about it, maybe it is good that she is suggesting this. However, I don’t think it is wise for us to allow her to do the curriculum development, for reasons that we discussed earlier.

What your thoughts on the issue of FYLTYP?

The PD (OD is not nice sounding. Plus I think this change represents better the responsibilities we have) is responsible for making sure the organization stays meaningful, relevant, functional and efficient. Specifically, they are responsible for the following:

Website data maintenance (i.e. making sure the info is up to date and available)

Procedure development (what does this mean?)

Curriculum development, with emphasis on philosophy of the organization that will inform the methodology by which we proceed and the programs we develop.

Program development for activities (We need to move beyond just camps and conferences.) Working with the existing organizational committee headed by Asim Mohammad.

Resource development (examples?)

Working on key events, such as FYLTP in December. (I would like to change the word training….it assumes a one way relationship in the educating process, when there is two, teaching and learning. And when the focus is just on teaching, it takes away from the active participation of the youth and relegates them to a passive observer, not allowing for ownership of the information. Plus it is a new MYNA, we should update not only our approach, but our names. And FYLTP is just ridiculously long J Leadership in Arabic is for the Khalifa, and Khalifa comes from the root word meaning “behind”. And the Prophet SAW said that the leader of his people is their servent. So we should be dealing with something along the line of Severnt Leadership, which there is a lot written about in organizational and leadership literature. In order to change the way we do things, we need to change our language first.)

Assalamu alaikum, everyone.
I did speak to my brother and he does want to help us. As to what capacity and whether or not he or his firm can become official legal
representation for MYNA is something that he is going to get back to me on within a few more days, insha'allah.

In the meantime, he revised the document you sent earlier today (I sent it to him and within 1 hour he had it sent back to me...he's really helpful and efficient whenever he does have the time away from his workload at the firm).

I will keep you updated in the coming days and also send you the other document I have been working on (the list of "deliverables" and
expectations for the 2 positions).

Assalamu Alaikum, Ok, I took a look at the contract and it looks good. Only one comment, on the section of reimbursed expenses: shouldn't we put something about getting them approved prior to spending and that they should follow MYNA accounting policies?

Also, I hope you guys had a productive call. Anybody write the minutes? Asad, please provide agenda for our physical meeting.
